About the Company

We’re seeking a highly organized and data‑driven Workflow Coordinator to join our U.S. Outsourced Operations team and play a pivotal role in inventory movement, process coordination, analytics support, and cross‑functional collaboration.

About the Role

As the Workflow Coordinator, you will be the central driver of inventory transitions between our organization and external agencies. Your work ensures service levels are met, processes run smoothly, and critical reporting is accurate and actionable. You’ll collaborate closely with Analytics, Client Services, Legal Performance Managers, and global Workflow teams to support the success of our outsourcing strategy.

Responsibilities:

Inventory Management

  • Lead the weekly placement cycle in collaboration with Analytics.
  • Create workflows for account recalls and post‑recall processing.
  • Manage closure logistics across specialty agencies.
  • Maintain a strong understanding of client SLAs and influence internal and external stakeholders accordingly.
  • Produce monthly reports and conduct ad hoc analysis on client operational metrics.
  • Drive continuous process improvement and reduce escalations through proactive communication.

Reporting & Data Management

  • Own and enhance workflows within the Review Legal Closure pool.
  • Maintain logic preventing accounts from backsliding into review status.
  • Complete claim type reconciliation and develop ongoing tracking processes.
  • Support creation and maintenance of reports for Outsourced Operations.

Operations & Stakeholder Liaison

  • Prepare for and lead the bi‑weekly meeting with the AUS Workflow team, including post‑mortem updates.
  • Manage department Gantt charts and reporting dashboards.
  • Partner with U.S. Workflow teams to maintain and build new reporting structures.
  • Coordinate with Client Services for intake of bills of sale and other legal documentation.

System Transition

  • Support the assessment and selection of a new EDI data transfer system.
  • Collaborate with AUS Workflow to design the needed coding. (SQL experience)
  • Engage with law firms to ensure cross‑platform compatibility (CLS, JST, QLaw, etc.).
  • Determine long‑term maintenance and operational requirements for the new solution.

Additional Projects

  • Assist the VP of Outsourced Operations with various project-based work and process improvement initiatives.

Qualifications

  • Strong analytical and problem‑solving skills.
  • Exceptional attention to detail and accuracy.
  • Experience working with workflow processes, inventory handling, or operations coordination.
  • Ability to manage multiple priorities in a fast‑paced environment.
  • Clear communication skills and the ability to educate stakeholders on policies and SLAs.
  • Proficiency in reporting, data interpretation, and cross‑functional collaboration.
